Building Use Guidelines & Policy

To ensure our church facilities remain safe, clean, and well-maintained for all ministries and visitors, all groups requesting space must adhere to the following guidelines:

1. Request & Scheduling Policy

  • Advance Notice: All building use, opening/closing, and parking lot security requests must be submitted to the Deacon Ministry at least two (2) weeks in advance.
  • Pastoral Approval: No event or meeting is confirmed until formal approval is granted by the Pastor and coordinated with the Deacon Ministry.
  • Limitations: Facility use is granted based on church calendar availability and Deacon Ministry volunteer capacity. Not all requests can be accommodated.

2. Building Access & Security

  • Opening & Closing: Only authorized members of the Deacon Ministry or designated leaders are permitted to unlock, lock, or disarm the security system.
  • Parking Lot Security: When requested, lot security will monitor arrival and departure times. Please inform attendees to follow any parking directives provided by the security team.
  • Doors & Windows: Exterior doors must never be propped open or left unattended during after-hours events.

3. Setup, Cleanliness, & Care

  • Leaves as Found: Groups are responsible for leaving rooms in the condition they were found. Reset all tables and chairs to their original positions.
  • Trash Removal: All trash generated during the event must be tied up and placed in designated dumpster areas.
  • Lights & Thermostats: Turn off all room lights when exiting. Do not adjust HVAC thermostats unless explicitly authorized.
  • Kitchen Use: If using the kitchen, all counters must be sanitized, appliances turned off, and dishes washed and put away immediately after use.

4. General Conduct & Safety

  • Supervision: Children and youth must be supervised by an adult at all times and are restricted to the areas reserved for the event.
  • Prohibited Items: No open flames (other than sanctuary altar candles), alcohol, smoking, or unauthorized equipment are permitted anywhere on church grounds.
  • Damages: Any pre-existing damage or issues occurring during use must be reported immediately to the Deacon Ministry.
